This Agreement governs both your general use of our website (www.KP-Nutrition.com) and the legal terms of any virtual clinical appointments booked through our platform. These terms are effective from 25th September 2026.

1. Corporate & Regulatory Identity

KP Nutrition is a specialized gastroenterology dietetic clinic directed by Katherine (Katie) Westwood (registered professional name), operating as a Sole Trader in the United Kingdom.

• Clinical Registration: Our clinical practitioners are fully registered with and regulated by the UK Health and Care Professions Council (HCPC) under registration number DT27760.

• Professional Body: Members of the British Dietetic Association (BDA) [6.1].

2. Clinical Booking, Cancellation, and Refund Policy

By booking an appointment and submitting payment via our website or integrated clinical portal (Practice Better), you enter into a legally binding service contract governed by the following parameters:

• The 48-Hour Cancellation Windows: We operate a strict clinical cancellation policy to protect our practitioners' schedules. If you need to cancel or reschedule your virtual consultation, you must provide at least 48 hours' noticeprior to your appointment time.

• Late Cancellations & No-Shows: Cancellations made with less than 48 hours' notice, or failure to attend your scheduled video or telephone appointment within 15 minutes of the start time, will result in 100% of the session fee being charged. No refunds or free rebookings will be issued under these circumstances.

• Refund Exceptions: Standard consumer "14-day cooling-off periods" do not apply once a clinical consultation has been fully completed or if an appointment is missed without proper notice under UK consumer service provisions.

• Insurance Bookings: If booking through a major health insurance provider (e.g., BUPA, AXA, Aviva, Vitality, WPA), you remain personally liable for the full consultation fee if your insurer rejects the claim or if you breach the 48-hour cancellation policy.

3. Virtual Consultation & Patient Responsibilities

• Technical Readiness: All appointments are conducted via secure online virtual portals or telephone. It is your sole responsibility to ensure you have a functional internet connection, a compatible camera/microphone device, and a private environment to maintain your own clinical confidentiality during the call.

• Accuracy of Information: You agree to provide our specialist dietitians with accurate, complete, and honest medical history, symptoms, and dietary records during your intake and consultation windows [2.3].

• GP Interfacing: While our dietitians work closely within the wider multidisciplinary medical team (MDT), you retain primary responsibility for communicating major dietary changes to your primary General Practitioner (GP) or referring consultant.

4. Professional Clinical Disclaimer

• General Web Content: The informational material, blogs, toolkits, and social media posts published on this website are intended for general educational information for the adult population only. They do not amount to individual clinical diagnoses or personal medical advice.

• 1:1 Service Context: Individualized advice is strictly limited to your private, paid one-to-one clinical consultations.

• No Emergency Provision: KP Nutrition does not provide emergency medical interventions.
